The rules of the road

These Terms govern your organisation's use of FeeMaster. By creating an account or using the platform, you agree to these Terms on behalf of your organisation.

  1. Acceptance of these terms

    By signing up for FeeMaster, accessing the admin panel or using any feature of the platform, you confirm that you are authorised to act on behalf of your organisation and that your organisation agrees to these Terms. If you do not agree, please do not use the platform.

  2. What FeeMaster provides

    FeeMaster is a software-as-a-service platform that helps community organisations collect fees and donations, manage members, run programmes, send WhatsApp reminders and receipts, and generate reports.

    Specific features and limits may change as we improve the platform. We will give reasonable notice of material changes to features that you actively rely on.

  3. Your account & responsibilities

    You agree to:

    • Provide accurate information when registering your organisation and keep it up to date.
    • Keep admin credentials confidential and not share them with unauthorised people.
    • Only add member, donor or beneficiary records that you have the right to manage.
    • Use FeeMaster in line with applicable laws - including privacy, anti-spam and payments regulations in your country.
    • Take responsibility for the actions of your sub-admins and for the accuracy of the records you create.
  4. Acceptable use

    You agree NOT to use FeeMaster to:

    • Send messages to people who have not consented to be contacted by your organisation.
    • Collect payments for unlawful goods or services, or in a way that violates the terms of any payment provider you use.
    • Attempt to access another organisation's data, probe the platform for vulnerabilities without authorisation, or interfere with the service for other organisations.
    • Reverse engineer, copy, scrape or resell the platform itself.
  5. Fees and payment

    Pricing and any subscription fees are agreed separately with your organisation at signup. We will give reasonable notice before a price change takes effect. Fees you collect from your members are between you and your members - FeeMaster does not process card payments on your behalf unless explicitly arranged.

  6. Data ownership

    You own your data. Your organisation retains ownership of all members, payments, donations, welfare, programmes and other records you create. You can export this data from the admin panel at any time.

    FeeMaster holds a limited licence to process your data only as needed to run the service for you, as described in our Privacy Policy.

  7. Service availability

    We aim to keep FeeMaster available around the clock, but we do not guarantee uninterrupted availability. Maintenance, third party outages, or events beyond our reasonable control may affect access. We will work to restore service promptly.

  8. Suspension and termination

    You may stop using FeeMaster at any time. We may suspend or terminate access if your organisation materially breaches these Terms, fails to pay agreed fees, or uses the platform in a way that risks the safety of other users.

    On termination, you can export your data for a reasonable period before it is removed from active systems.

  9. Disclaimers & limits of liability

    FeeMaster is provided “as is”. We make no warranty that the service will be error-free or perfectly suited to every situation. You are responsible for verifying that the reports, receipts and reminders generated by the platform meet your organisation's legal and accounting requirements.

    To the maximum extent permitted by law, our total liability to your organisation under these Terms is limited to the fees paid to FeeMaster in the 12 months immediately preceding the claim.

  10. Changes to these terms

    We may update these Terms as the platform evolves. When we do, we'll update the “Last updated” date and notify organisation admins of material changes. Continued use of the platform after a change indicates acceptance of the updated Terms.

  11. Governing law & contact
